Halloween Crawl Instructions

Manager Duties 

1. Pre-Event Coordination

  • Arrival at Venues: Arrive 30 minutes early to each venue to introduce yourself to security and staff. Inform them that the Crawl is coming through and that you are overseeing the event.
  • Venue Check-Ins: Verify hosts know what to do, they have assigned roles, and training documents if necessary. Ensure they know where to have people buy tickets or get maps if needed. Brief security on crawl timing.

2. Communication via WhatsApp

  • Group Chat: Use the WhatsApp group chat for instant communication for issues.
    • Cash Sales: Confirm any special pricing and cash ticket offers for the night in the whatsapp group if we are not there.
    • Expedited Entry: Communicate cash-based expedited entry options if being asked in the whatsapp group, we may allow it depending on the situation.
  • Issue Reporting: Monitor and resolve any issues that you cannot resolve, that are relayed by hosts (e.g., ticketing issues, guest questions, or crowd management concerns). If you can resolve it and they are minor /standard issues no need to message.

3. On-the-Ground Responsibilities

  • Cash Sales & Ticketing: Handle all cash transactions for tickets directly. Update the group chat if special rates or expedited options are available during the night.
  • Support Hosts: Assist hosts at each venue, ensuring ticket scanning runs smoothly and that transitions between venues stay on schedule. You can help to scan or stamp or put on wristband when needed.
  • Problem Solving: Quickly address any issues that arise, from ticketing to crowd control, and liaise with venue security as needed, escalate any major issues in the whatsapp chat.


Walking Dead Crawl: 7:30-12 (4.5 hrs)
Toronto Halloween Crawl: 8:30-12:30 (4 hrs) for this crawl please tell people going into Fox on John at 12 that there is an after party option that they can go back to Empire Lounge up until 4am.

Fright Night Crawl: 7:30-12:30 (4hrs) – you can leave this one by 12:15 probably
